How to Write a Great Pre-Tournament Email to College Coaches

Tournaments are one of the best opportunities to get in front of college coaches—and a strong pre-tournament email can make a huge difference in whether or not they come to watch you play.

Below are two email templates you can use:

1. One for when you know a coach will be attending

2. One for when you aren’t sure if they’ll be there

✉️ Email Template #1: Coach is attending


Subject:
[Your Name] – [Tournament Name] – [Tournament Dates]
Email Body:

Hi Coach [Last Name],

I saw that [School Name] is attending [Tournament Name]. I’m very interested in your program and would love to have you at one of my games. Below is my schedule, along with a link to my most recent highlight video.

Thanks so much for your time,

[Your Full Name]

[Your Team Name] Game Schedule:

[Day, Date]

Opponent: [Team Name]

Time: [Time and Time Zone]

Location: [Field Name or Complex – Field #]

[Google Maps Link] | [Apple Maps Link]

(Repeat for each day of the tournament)

✉️ Email Template #2: Coach might not be attending


Subject:
[Your Name] – [Tournament Name] – [Tournament Dates]
Email Body:

Hi Coach [Last Name],

It doesn’t look like [School Name] is attending [Tournament Name], but I wanted to send over my game schedule just in case. I’ve also included a recent highlight video if you’d like to check it out.

Will you be attending any other upcoming events this season?

Thanks again,

[Your Full Name]

[Your Team Name] Game Schedule:

(Use same format as above)

  • Send it 3-5 days before the tournament. That gives coaches time to plan.
  • Use a clear subject line. Make it easy to find in a crowded inbox.
  • Keep it short and focused. Don’t over-explain—coaches are scanning for key info.
  • Always include your schedule and highlight video. Whether they show up or not, give them something to watch.
  • Follow up after the event. Mention how your team did and thank them again
